What are Segments

Segments are used when a Customer has more than one branch/district/office.

They are used to provide companies with a way to view all of their cases in one place without all of their users having access to everything.

For example, you may work at the head office of a chain of nurseries. You could have all of your nurseries as Segments, you could be the Admin User so you have access to view all Subjects and Cases. The manager of each nursery could be Agent Users so they would only be able to see the Subjects and Cases under their nursery segment.


Segment Settings

Adding a Segment

  • Navigate to https://app.personnelchecks.co.uk/segments
  • Click “Add Segment”
  • Give the Segment a name
  • The employer name that appears on DBS certificates can vary. You may want the segment name to appear on the certificates or the customer name, you can configure this on the Segment edit screen

Adding Users to a Segment

To add a User to a Segment:

  • Navigate to the User Edit Screen
  • Select the Segment to add
  • This user will now be able to see and start any Cases on this Segment

Adding Processes to a Segment

To add a Process to a Segment:

  • Navigate to the Process edit screen
  • Select the Segment to add
  • You will now be able to start Cases with that Process on that Segment

If you would like your employees to pay for their own Cases, a separate Registration Portal will be set up on each Process for each Segment. This means you can have web page text tailored to each Segment. Click here to see how to create a registration portal


User Permissions

When a User is added, it is a requirement to provide them with roles. Depending on which roles are selected will depend on how much access they will have on a segmented account.

  • Admin users will have access to everything on all Segments
  • Agents, DBS ID Verifiers and Payment Managers will only have access to the Segments selected, you can select as many segments as you like.

Who can Segments can be useful for

  • Larger Customers who have offices in different locations
  • Customers who have teams that want to keep their results private from other teams
  • Customers that are chains, Segments can prevent multiple accounts with us

How are Segmented accounts invoiced

You can decide how each Segment is invoiced.

You can either;

  • Receive one invoice for all of the Segments
  • Receive separate invoices for each Segment

We would require an address for each invoice so if your Segments do not have separate postal addresses, we would recommend having one invoice for all of the Segments.
