Completing a subject’s case portal

As a user of Personnel Checks you will be setting up numerous subjects in order to carry out a check or number of checks on them. 


It is important to understand that when setting up a subject, you must use a unique email address per subject. It is not possible to use the same email address for multiple subjects. 


This is the case for several reasons: 


Whilst you (as the company) are requesting the case, it is, in fact, the subject who is applying for the check(s) and it is important that they themselves input their data. 


This is particularly important in the example of DBS Checks: 


In the case of DBS Checks the subject is asked to confirm a statement at the end of their DBS form. The wording for this statement is as provided to us by DBS and is as follows: 


“I have provided complete and true information in support of the application and I understand that knowingly making a false statement for this purpose is a criminal offence.” 


Personnel Checks technology and processing is audited by the Disclosure and Barring Service and it is firmly stipulated by them that this wording be present and accepted by each subject per DBS submission. 


For Personnel Checks to sustainably meet this requirement from DBS, we have implemented our technology as such. 


Users of our legacy system were able to ‘workaround’ this requirement as it did allow for the same email address to be used for different subjects.  


We are pleased that users of the new Personnel Checks system are able to strengthen their compliance to DBS regulations. 


With their consent, it is absolutely feasible to help a subject complete their case portal (e.g. by their side or over a video call), however, it must be the subject who checks the consent statements and submits their own data.
