2023-02-08: Editing Subject Data

When verifying applications, there can occasionally be small errors in the information provided by the Subject that that will prevent submission of the application. Whether this is a small typo on the name, or the incorrect post code on their current address, providing incorrect data can be detrimental to a Case, and can often even be illegal.


It can seem unfair to expect the Subject to restart their application based on a small inconsistently, and asking the operations team to make the amendment can also seem time consuming, so we now have an alternative.


To ensure your compliance processes are easy to manage from start to finish, we are now enabling Customers to edit Basic Data on the Case Activities while verifying the application. This will include any data that is required for a DBS check, including document details.


When editing the data, we ask for confirmation that you have the Subject’s consent to make the changes, so that the declarations they make when completing the form aren’t voided, and every process remains compliant and following all Data Protection legislation.


Important: When editing this data, you must retain evidence of having the Subject’s consent to make the changes, so that the declarations & consent statements that they confirmed when completing the form aren’t voided, and every process remains compliant and following all Data Protection legislation. 


There is nothing you need to do to enable this feature, it will automatically be applied at launch.


How to Edit Details


When verifying documents, you will see a new tab called “Edit Case Related Data”, in here you can edit any related case data entered by the applicant.



For example, Eileen has missed her middle name of Anne off the forms, her documents all show this name, and she has given consent to make this change on her behalf.


All you need to do is:


  • Navigate to Outstanding Activities
  • Select the Subject
  • Navigate to the "Edit Case Related Data" tab
  • Make the changes
  • Confirm that you have consent to make this change, and that you accept it only changes this Case Activity
  • Save

Note - the changes will not show until you refresh the page. Navigating back to the "Verification" tab immediately after will not show the changes.


Now you can go forward and verify the documents. You can read more on how to verify your applications here.


Please note – this will only change the data for this Case. It will not change the Subject’s name on their account. If you would want this changed to match the Cases, ask the Subject to change it in their account, or ask our Operations Team to assist. You are also unable to change the Subject's Date of Birth or Email address. Please contact the Operations Team on [email protected] for assistance.
